This policy explains how VentureOS (“we”, “us”) collects, uses, and protects your personal information. We process personal information in line with South Africa's Protection of Personal Information Act, 2013 (POPIA).

What we collect

  • Account details — your name, and the email address or phone number you sign in with.
  • Business information — the venture ideas, plans, financials, and documents you create or upload.
  • Founder profile — optional context and self-assessment answers you provide to personalise guidance.
  • Conversations — the messages you exchange with the AI assistant.
  • Technical data — basic logs and error reports needed to run and secure the service.

Why we process it & our lawful basis

We process your information to provide the service, personalise guidance, deliver one-time sign-in codes, and keep the platform secure. Our lawful bases are your consent (which you give when you create an account) and the performance of our agreement with you.

Who we share it with

We share information only with the operators (“processors”) that run the service, under contract and only as needed:

  • AI providers (e.g. Google, Anthropic) — to generate responses to your conversations.
  • Email & messaging (e.g. Resend, WhatsApp / Meta) — to deliver sign-in codes and notifications.
  • Payments (e.g. Paystack) — to process any payments; we do not store card details.
  • Hosting & monitoring (e.g. Neon, Sentry) — to store your data securely and detect errors.

Some processors may store data outside South Africa. Where they do, we rely on their contractual and legal safeguards for cross-border transfers. We do not sell your data.

How long we keep it

We keep your information for as long as your account is active and as needed to provide the service. You can ask us to delete it at any time (see below). Sign-in codes expire within minutes.

Your rights

Under POPIA you have the right to:

  • access the personal information we hold about you;
  • ask us to correct or update it;
  • ask us to delete it, or object to its processing;
  • withdraw your consent at any time; and
  • lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za.

Keeping your data safe

We protect your account with one-time sign-in codes, encrypted connections, and access controls. No system is perfectly secure, but we take reasonable steps to guard against loss, misuse, and unauthorised access.

We may update this policy from time to time. We'll post the new version here and update the date above.
